The Suggestion Was Rejected—Yet Employees Still Understood. What Did This Tea Brand's HR Team Get Right?

A new-style tea beverage brand has set up a Fresh Voice Mailbox through the CDP digital employee experience platform to encourage frontline store partners to submit operational suggestions. In response to proposals such as adding sealing film to reduce spillage, functional departments provided detailed explanations of the overall packaging design considerations, helping employees understand the multiple factors behind decisions—including brand positioning and operational efficiency. The platform has established a systematic feedback mechanism, collecting over 300 valid suggestions to date, more than 40 of which have entered the optimization process. The HR role is shifting from employee servicing to business connectivity, using digital tools to close the communication loop between headquarters and frontline teams. This enables fragmented frontline insights to continuously feed into corporate decision-making, preserving organizational agility and a shared consensus culture amid rapid scaling—which is precisely a vital source of organizational resilience.

Employee Experience Platform Employer Branding

A cup of milk tea leaks during delivery. For customers, it's simply an unpleasant experience. But for store employees, it often means handling complaints, processing refunds, and spending extra time explaining the situation. But for store associates at a certain new tea brand, it is a daily hassle involving customer complaints, refunds, and time spent on explanations.

Store employees in multiple cities have been submitting the same suggestion via the Fresh Voice Mailbox on the CDP Digital Employee Experience Platform: could the company add sealing devices or sealing film to cold drinks to reduce spillage during delivery?

After the suggestion was posted, the user operations department quickly responded. Instead of simply approving or rejecting the suggestion, the operations team provided a detailed explanation of the company's packaging strategy. From brand image and product experience to delivery performance and operational efficiency, every packaging material and design detail has been rigorously tested and evaluated. Based on current operational data, the spill rate remains within an acceptable range; therefore, the company will continue with its existing packaging solution while further optimizing store packaging standards to reduce delivery risks.

Although the suggestion was ultimately not adopted, many employees said they finally understood why. They realized that even a seemingly simple packaging decision involves balancing brand image, customer experience, operational efficiency, delivery performance, and consistency across thousands of stores. It wasn't an arbitrary decision from headquarters—it was the result of careful business considerations.

For headquarters, it was a business decision. For frontline employees, it became a window into how the company makes decisions. Every response helped shift the company's management style—from one-way communication to genuine dialogue and shared understanding.

As the company continued to expand, keeping headquarters connected with frontline employees became increasingly challenging.

That challenge became the starting point for the company's collaboration with CDP: to establish a channel for continuous communication between headquarters and the front lines.

The idea was simple: the people closest to customers often have the clearest view of what needs to improve, shifts in consumer demand, and practical issues in store operations are, in themselves, the most direct signals for driving business optimization. However, as the store network expanded and the organizational structure grew more complex, communication channels between headquarters and stores became increasingly fragmented.

The launch of Fresh Voice changed that. Unlike the scattered feedback previously found in WeChat groups, this platform established a clear mechanism for channeling employee voices: employees can submit suggestions at any time in a dedicated section, and all feedback is centrally collected, categorized, and tracked. Each month, HRBPs work closely with business teams each month to review every suggestion and determine appropriate follow-up actions; the results are then shared with all employees via the online platform in a monthly Q&A compilation, while individual feedback is also provided to the submitters.

In addition to packaging leaks, the platform has also received numerous genuine pieces of feedback from the front lines: product labels are difficult to remove, prompting requests to optimize packaging design; store aprons are not sufficiently waterproof, affecting the work experience in stores; and with the increase in foreign tourists, suggestions have been made to add an English-language ordering option to the mini-program. These suggestions all stem from real-world store scenarios and continue to provide new perspectives for optimizing the company's products and services.

According to platform operational data, Fresh Voice has received a cumulative total of over 300 valid suggestions from frontline stores, covering multiple areas such as product packaging, store equipment, employee experience, and customer service. To date, more than 40 of these suggestions have been implemented or incorporated into ongoing product improvements.

HR's Evolving Role: Connecting Employees with the Business

This case study illustrates that HR's role extends beyond providing employee services and organizing activities to designing mechanisms that strengthen connections across the organization. By leveraging a digital employee experience platform, HR has opened up feedback channels between employees and the business, as well as between headquarters and frontline staff, creating a continuous feedback loop that captures frontline insights and turns them into business improvements.

More importantly, Fresh Voice is more than just a suggestion box; a trusted space for two-way dialogue. Behind every suggestion lies the observations and reflections of a real store team member, and every public response represents a moment of greater understanding and alignment between headquarters and the front lines. In this process, HR acts as a connector, ensuring these dialogues continue and that these voices are not drowned out.

For consumer retail chains with a large number of stores and frontline employees, the value of this connectivity becomes even greater as the organization grows as the organization expands: it engages more frontline employees in business improvement and fosters deeper mutual understanding and collaboration across departments on shared challenges. Most importantly, it enables the company to remain open to feedback and continuously improve as the business scales. That ability to keep listening, learning, and improving—even as the organization grows—is what ultimately builds long-term organizational resilience.

The CDP digital recognition platform, powered by real-time acknowledgment, honor badges, and online communities, builds an open and efficient employee communication ecosystem, creating a warm and engaging space for employee interaction.
